2026-27 Fees & Fee Policy

Redhill & Reigate Swimming Club (RRSC) is a member-run, not-for-profit organization managed by volunteers.

Fees are structured to cover essential costs including pool hire, coaching, insurance, and administration.

1. Annual & One-Off Fees

These charges are generally applied once per year or at the start of membership. These costs cannot be pro-rated, though annual membership and Swim England fees may be reduced for those joining between October and December.

1. 1. Joining Fee: A one-time payment for new members (payable for all squads except Masters) to cover initial administrative setup.
   2. Annual Club Membership: Due in full on January 1st each year (or at the start of membership) to cover website, insurance, and financial software costs.
   3. Swim England Registration: Required for insurance and eligibility for training and galas.
      • • • Club Train: For swimmers aged 8 and under, or Masters not planning to compete.
          • Club Compete: Required for swimmers participating in open competitions and galas.

2. Monthly Squad Fees

Squad fees cover ongoing training program costs such as coaching and facility hire.

• Payment Schedule: Collected monthly on the 15th via standing order.
• Reference: Standing orders must include the membership number/surname.
• Averaged Billing: Fees are a flat monthly rate, remaining the same even during bank holidays or training breaks.
• Advancement: Payments are collected on the 15th to cover the current training period (paid part in arrears and part in advance).
• No Refund Policy: No refunds or credits are offered for missed sessions due to holidays, exams, or personal commitments.
• Late Payment: If payments are delayed by more than two months, the club reserves the right to cancel membership and training access.

Other Terms

Injuries and Long-Term Absence

If a swimmer is sidelined by an injury or illness lasting four weeks or more, the club may pause the membership.

• How to Apply: Notify the Treasurer (treasurer@rrsc.org.uk) immediately when the injury occurs.
• Evidence: A valid medical certificate is required for processing.
• Timing: Credits cannot be applied retrospectively for unreported time off.

Leaving the Club

• Notice Period: One full calendar month’s notice is required.
• Submission: Formal written notice must be sent to the Membership Secretary (membership@rrsc.org.uk) by the 1st of the month to take effect at the end of that month.
• Example: Notice given in March means membership ends on April 30th.
• Fees in Lieu: If required notice is not given, the club may charge one month’s fees.

Optional Extra Costs

Members may incur additional costs throughout the season:

• Gala Entries: Invoiced after entries are accepted. These are non-refundable once the club has paid the host. A £1 administrative fee per event is included.
• Club Kit: Branded gear (caps, shirts) can be ordered when the club shop is open.
• Travel: Families are responsible for transport and accommodation for “away” meets.
• Holiday Courses: Optional clinics may be offered at an extra cost.

Financial Hardship and Fee Changes

• Hardship: Members facing temporary financial difficulty should contact the Treasurer (treasurer@rrsc.org.uk) to discuss a confidential payment plan.
• Fee Amendments: In the event of squad moves, members are responsible for updating their standing orders to reflect the new fees informed by the Membership Secretary. Club-wide fee changes will be communicated via email.
